Case Study & Technical Analysis: INV Item Catalog Descriptive Elements

Executive Summary

This report shows the item catalog descriptive elements of each item, with the value entered for each element, its description, and whether the element is required and whether the value is the default. Item master teams and catalog administrators use it to check that items are fully described before they are released, purchased or sold. Each row is one element value of one item within one catalog group, and the report runs in Excel through Blitz Report™.

Business Challenge

• Incomplete item records: An item catalog group defines the descriptive elements an item must carry, and items with missing required values cause downstream problems in purchasing and order entry.
• Catalog completeness: Administrators need to know which items are flagged as catalog complete and which are still being maintained.
• Consistent values: Descriptive element values should come from the defined list for each element, and reviewers need to see them in one place.
• Mass review: Checking element values item by item in the item master form is slow when many items share a catalog group.

The Solution

• Lists each item’s organization, item number, description, item type and status, with its catalog group and the catalog completeness flag.
• Shows, for each element of the catalog group, its sequence, name, description, the value entered for the item, and whether the element is required and whether the value is the default.
• Filters by organization, catalog group, item, item type, item status, element name, element value and catalog completeness.
• Orders the output by organization, item and element sequence, so that each item’s elements appear in the order defined by the catalog group.

Technical Architecture (High Level)

Primary Tables

• MTL_SYSTEM_ITEMS_VL: the items, with description, item type, status code and catalog completeness flag.
• MTL_DESCR_ELEMENT_VALUES: the element values entered for each item, with the element name and whether the value is the default.
• MTL_DESCRIPTIVE_ELEMENTS: the elements defined for a catalog group, with their sequence, description and required flag.
• MTL_ITEM_CATALOG_GROUPS_B_KFV and MTL_ITEM_CATALOG_GROUPS: the catalog group code, which is the concatenated segments, and its description.
• MTL_ITEM_STATUS_VL: the item status descriptions.
• MTL_PARAMETERS: the organization code of each item.

Logical Relationships

1. Each element value is joined to its item in MTL_SYSTEM_ITEMS_VL, and the item to its organization in MTL_PARAMETERS.
2. The item’s catalog group is joined to the group definition, and the group’s descriptive elements are joined to the same group.
3. Each element value is matched to its element definition by element name within the catalog group.
4. The item status description is obtained from MTL_ITEM_STATUS_VL by status code.
5. Flags for required and default values are converted to readable Yes or No meanings.
6. Rows are sorted by organization code, item and element sequence.

Parameters & Filtering

• Organization Code: limits the report to one inventory organization.
• Catalog Group: restricts the output to items in one item catalog group.
• Item: selects one item.
• Item Type and Item Status: restrict the items by their type and status.
• Element Name and Element Value: restrict the rows to one descriptive element, or to one value of that element.
• Catalog Complete: restricts the output to items flagged complete or incomplete in their catalog.

Performance & Optimization

• The report joins the element values to items on the inventory item identifier, so the item filters are the most effective way to reduce the row count.
• The catalog group and element definitions are small reference sets, so their joins add little cost compared with the element values.
• The item status lookup is a correlated subquery that returns one row per item, so it is evaluated once for each item listed.
• Filtering by catalog group or element name before the sort keeps the sorted set small in large item masters.

FAQ

Q: How do I find items that are missing a required catalog element? A: Filter on the catalog group and element name, and review the rows where the element value is blank, using the Required column to identify the mandatory elements.

Q: What does the Catalog Complete column show? A: It shows whether the item’s catalog record is flagged as complete, taken from the catalog status flag of the item.

Q: Which catalog group does each item belong to? A: The Catalog Group column gives the concatenated segments of the item catalog group assigned to the item, with its description.
